Certification Readiness

The ISO Certification Journey: From Gap Assessment to External Audit

The main stages between choosing an ISO standard and facing an independent certification audit, with practical evidence to prepare at each step.

An ISO certification project works best when it is treated as an operational change programme rather than a document exercise. The exact path depends on the chosen standard, scope and organisation, but the core stages are consistent.

1. Define the Scope and Objectives

Clarify why the organisation is pursuing the standard, which sites, services and teams are included, and who is accountable. Customer or tender requirements should be checked carefully because they may specify a standard, scope or certification condition.

2. Complete a Gap Assessment

Compare current practices and evidence with the standard. Record strengths, gaps, owners, priorities and dependencies. The assessment should lead to a realistic roadmap based on risk and available resources.

3. Design and Implement the System

Define responsibilities, policies, processes, objectives and controls that fit the business. Train relevant people and begin operating the system. Evidence accumulates through normal activities such as approvals, monitoring, reviews, incidents and corrective actions.

4. Evaluate Readiness

Internal audits evaluate conformity and effectiveness. Management review allows leadership to consider performance, risk, resources and improvement. Findings need root-cause analysis and appropriate corrective action.

5. Engage an Independent Certification Body

The organisation selects a suitable certification body and agrees the certification scope. Certification commonly involves a readiness-focused stage followed by a detailed assessment of implementation. Findings may need to be addressed before a certification decision.

6. Maintain and Improve

Certification is not the end of the management system. Objectives, risks, internal audits, management reviews and improvements continue. Surveillance and later recertification audits provide ongoing independent assessment.

Certivanta supports implementation and certification readiness. We do not make certification decisions or issue certificates. Timeframes and outcomes depend on the organisation and the independent certification body. See our implementation approach or request a consultation.

A Typical South African Starting Point

A growing organisation may already have contracts, procedures, risk registers and customer records but no single management system. A gap assessment should identify what can be retained, what needs correction and which activities need operating evidence. This prevents the project from becoming an unnecessary rewrite of work that already functions.

Questions to Resolve Early

  • What exact scope must appear on the certificate?
  • Does a tender or customer impose a deadline or evidence format?
  • Who can allocate resources and approve system decisions?
  • Which certification bodies can audit the required scope?

What Changes the Overall Cost?

Consulting, certification-body audits, standards purchases, travel and technical remediation are different cost categories. Organisation size alone is not enough to price the work; sites, complexity, readiness and evidence matter. Review Certivanta’s readiness process, the consultation package and the available ISO services.

What a Readiness Proposal Should Confirm

A useful proposal sets out the scope, planned stages, client responsibilities, included workshops and expected deliverables. It identifies dependencies such as access to process owners, technical specialists and historical records. It should also say whether internal audit and corrective-action support are included, distinguish certification-body fees from consulting and explain that audit availability, findings and the certification decision remain outside the consultant’s control.
